The pre-travel case review: what to send, and what you get back, before you book

The most expensive mistake in medical travel is booking the ticket first and asking the detailed questions afterwards. A pre-travel case review reverses the order: you find out whether travelling makes sense at all, and how much time and money it will take, before you spend anything on flights.

What is a pre-travel case review?

It is an administrative review of your medical file before you travel. You send us what you have — reports and imaging — we put it to the appropriate hospital or clinic in our network, and we come back to you with what the provider said: whether the case is suitable for treatment in Egypt, how many sessions or visits they expect, and how long you would need to stay.

The aim is not to persuade you to travel. In some cases the conclusion is that travelling is not worthwhile — either because the treatment is available closer to you at a similar cost, or because the case needs long-term follow-up that does not suit a short trip. Knowing that before booking is a gain, not a loss.

What to send

The clearer the file, the more accurate and faster the answer. What we usually need:

• Recent medical reports from your current doctor — PDF or clear photographs
• Imaging and tests: CT and panoramic scans in DICOM format where possible, not a phone photo of a screen
• A list of current medications and doses
• History of allergies, chronic conditions and previous operations
• A copy of your passport for visa arrangements and bookings
• The dates that suit you, and how much leave you have available

A practical note: original DICOM files are read far more quickly than phone photographs. If your imaging is on a disc or a hospital link, send the link as it is.

How long does the review take?

We confirm receipt of your file within one working day and tell you if anything is missing. The technical response from the hospital or clinic usually takes 2–5 working days, and may take longer if the doctor needs an additional test or a second specialist opinion.

If your case is urgent, say so in your first message — some cases are prioritised.

What you receive at the end

A written response, not a verbal call that gets forgotten. It includes:

• The provider’s view on whether the case suits treatment with them
• The expected number of visits or trips — this point changes the budget entirely
• An estimated stay length for each trip
• A written estimate of our administrative and coordination costs
• Which tests you should complete before travelling, to save time here

A point often missed: some treatments — dental implants being the clearest example — need two separate trips months apart, not one. Anyone comparing prices on a single-trip basis arrives at an unrealistic figure. You can estimate the difference yourself with the trip cost calculator.

What this review does not include

We repeat this point because it protects both sides:

• Hayakkom is a coordination and logistics company. It does not diagnose, prescribe treatment or offer a medical opinion
• Diagnosis and the treatment plan come from the licensed treating physician, not from us
• A pre-travel review is not a substitute for clinical examination — the final plan is set after direct assessment
• Written estimates are estimates, and change if the case changes after examination

Any coordinator who gives you a final diagnosis over WhatsApp before a doctor has seen you has overstepped. That is one of the criteria discussed in how to choose a coordination company.

What happens to your data?

Your medical file is shared only with the provider concerned with your case, and only with your consent. Your data is not published, not used in marketing and not shown to third parties. You can request deletion of your file at any time.

Common questions

Is the review binding? No. Most people who have a case reviewed do not end up travelling, and that is normal.

Do I need a visa before the review? No. The review comes before any travel arrangement.

Can someone travel with me? Yes, and tell us early — it changes accommodation and transfer arrangements.

What if my reports are old? Send them as they are; the doctor may ask for some tests to be updated, and these can often be done in your own country before travelling.
